Adding or editing events
All users can add events. Footlight automatically saves an event as an entity - a specific thing that is uniquely identifiable and machine readable. Events link to other entities to populate event data, including:
Places (locations).
Organizations (organizers/presenters of events, performers in events, and supporters/sponsors of events).
People (most often used for performers).
This approach streamlines both of event creation and of sharing events to multiple listings by minimizing manual data entry.
To add or edit an event:
Click Events to go to the Event calendar.
Do one of the following:
Click the + Event button to add a new event.
Click an event in the event list to edit an existing event. The event details view opens.
Do one of the following:
Create a single date event: Single event that happens once at a specific date and time.
Create a multi-day event: Single event, such as a festival or exhibit, that spans several days or months.
Create a recurring event: Event that repeats at different dates and/or times, such as a theatre show that is presented multiple times.
Add event details. Default text is displayed to provide helpful Information about how a field can be used.
Click save, publish or send for review:
To save the event as draft, you must enter a title and date.
To publish or send an event for review, you must enter all required event information for publishing as set by the calendar Admin. Minimum requirements are indicated by a red asterisk.
Note: If required event information is not available, contact the Admin of the calendar.
Event Details
Different fields in the event details page take different kinds of input.
Bilingual calendars
Footlight CMS can be configured to support bilingual websites, which need event information to be provided in both English and French. For this configuration:
Text fields, such as Event title, Event description and Notes, are offered for both official languages. To add text in a specific language, click the language tab, and enter the text.
Non-text input fields, such as those with drop-downs, are translated in the back-end and display their contents in the language of the UI, if available.
Fields that use controlled vocabularies
Some fields only accept pre-defined terms set by the calendar Admin (in the Taxonomies view). These controlled vocabularies help categorize and organize events for visitors to websites as well as for Artsdata users. Examples include Event type, Target audience and Event accessibility. Of note:
Event type / Discipline fields—You can add multiple event / discipline types. It is recommended that you choose the most important type first. In some calendars, the first type will be prioritized for display - on an event listing page, for example. Tip: If you want to add a term that is not available, add it to Keywords.
Fields that link to other entities
Certain fields link an event detail to another entity such as an organization, person, or place. They are: Location, Organizer, Performer and Supporter. The linked entities include detailed information you need for your event, which only has to be entered once: you will not have to reenter this information every time you add a new event. For example:
Location—The location field links to a Place entity. Places include details such as address, geo coordinates, region, opening hours and venue accessibility. Linking a location to a place automatically loads its details into the event. Note: After you select a Place for your location, certain details are displayed, such as region, the opening hours URL and venue accessibility details. If information is missing, you can add it to the place entity in the Places workspace so that they will be automatically included in all events that link to it.
Tip: If you don't find a person, place or organization that you are looking for in the Search dropdown, you can easily create it without leaving the event details (by using the Quick Create dialog). Just be sure that the entity doesn't already exist to avoid making a duplicate.
Information about other event details
Status—Use this dropdown to set the event status. An event can be scheduled, postponed or cancelled.
Translate button for descriptions—Use to automatically open a translator to help translate a description from French to English or vice versa.
Tickets—Choose free or paid. Different options appear for each.
Add more details to your event—Click the links on the right of the Event details to add even more details to your event. The corresponding fields will be displayed in the form. If you do not use the displayed field, it will be closed next time you view the event details.
